Description

I am working exclusively with my Bedfordshire-based client, a leading manufacturer of electro-mechanical products serving a range of process-related industries, to find an experienced Office Administrator with project coordination experience.

The successful candidate will play an important role within the business to ensure all projects run smoothly, liaising with clients to provide information, and maintaining key supplier relationships. Working closely with members of the Engineering Team, you will be providing administrative support to ensure the team delivers the multiple projects which are running simultaneously / concurrently, many of which are typically valued from £40k - £250k, with timescales usually 2-4 months lead time.

In return they are willing to pay an attractive salary up to £26,000 per annum DOE.

They can also consider taking someone on a part-time basis to fit around other commitments (i.e. 4 days per week or 30 hours across 5 days for example) and a pro-rata salary will be applied on that basis.

Key responsibilities:

  • Working closely with the Contracts Director PA and Engineers to ensure smooth running of projects including:
    • review quote and raise list of questions;
    • organise project 'kick-off' meetings and get answers to questions raised;
    • ensure materials and long lead orders are placed and monitored to ensure timely delivery;
    • ensure manufacturing drawings are approved prior to issue to the workshop;
    • organise office workloads to enable targets to be met;
    • monitor project progress to ensure deadlines are met and client queries resolved.
  • Keeping the Purchase Order book up to date, filing of orders when received out of the order

book into received folders and checking materials against that ordered.

  • Liaising with clients to channel questions, arrange installation, provide information etc.
  • Involvement with scheduling site activities.
  • Attending weekly office and workshop meetings.
  • Ensuring smooth running of all business activities.
    • review of Company procedures and policies to improve work practices.
    • maintain and update Website at regular intervals.
  • Working towards ISO9001 and other relevant standards;
    • maintain relevant documentation to support accreditation.
  • Ensuring the Achillies and Safe Contractor portals are kept up to date in readiness for yearly audit.
  • Ensuring Quality Manuals, Health and Safety requirements etc are up to date.
  • Completion and submission of customer Pre-Qualification Questionnaires.
  • Completion of trading account questionnaires for suppliers.
  • Obtain agreements with key suppliers to negotiate discounts for quantity.
    • maintain and review preferred supplier list;
    • supplier performance review meetings and supplier negotiations;
    • new supplier investigation and meetings.
  • General administration assistance.
